Information for clinics.

Referrals

We provide implant dentistry to clinics on a visiting basis. This is based on a referral process.

Procedures

We treat cases of all levels of difficulty and can provide as much or as little as required - referring dentists are encouraged to restore simple cases.

Equipment

We bring all the necessary specialised equipment, instruments, and surgical consumables. We also bring a nurse for setup and sterilisation.

Fees

We charge a 50% commission rate after lab fees, implants & biomaterials costs.

Step by step workflow.

1- CBCT

Refer the potential patient to a local radiology clinic for a CBCT scan.

We will need the digital DICOM files (not cross sections). To share the files you can either:

  • Use a shared Google Drive folder, Dropbox or WeTransfer

  • Send us a CD or USB

  • We can access the files online with some radiology networks (e.g. I-MED)

2- Referral form

Fill out our online referral form, including the radiology clinic and patient ID number. This form provides us with important information about the patient’s history and concerns.

2D radiographs and photos can be emailed separately.

3- Treatment plan & quote

After receiving the referral form and scan, we will email you a treatment plan and quote.

We may or may not need to conduct a consult with the patient depending on the complexity of the case.

Fees may vary from standard or health fund dictated fees. If our fees are higher, the difference can be made up with item code 990 for ‘implant materials’.

4- Bookings

Make a booking by contacting reception (Anita) via email or phone to find available times.

All appointment bookings must be made with Anita.

Surgeries must be confirmed the day before.

5- Surgery

On the day of the surgery, the patient will sign our consent form.

Your nurse will set up a clean chair with LA and an exam kit.

They will also be needed on stand-by to assist with processing X-rays etc. during the surgery.

Our nurse will carry out the surgical set up, assisting, and sterilisation of our instruments.

6- Sterilisation

Ensure your autoclaves are on and tested.

Anita will use your autoclaves to sterilise our surgical instruments.

Often multiple cycles are needed due to the large number of instruments, so we ask for prioritisation for our sterilisation and time after the appointment to allow for this.

We will provide sterilisation tracking information for you to upload to the patient file.

7- Invoice

The clinic will invoice the patient fees as usual, using Poli’s provider number.

At the end of each day, we will invoice the clinic for our commissions + GST as well as consumables/lab fees provided by us.

The commission rate is 50% of net billings, calculated after deducting implants, biomaterials, final prosthetic abutments and lab fees.

We request the invoices be paid within 14 days.

8- Ongoing care

The general dentists at the clinic will need to carry out regular exam and cleans, monitor the implant work and detect any complications after our treatment is complete.

If you suspect any complications, contact us.

Radiographs and photos can be emailed to us at any time for assessment.

9- Complications

We will rectify any surgical complications during the healing period without cost to the patient.

Late complications due to neglect or heavy smoking may incur a fee.
